Support and onboarding

Live in a week, with your real data in it

Onboarding is five steps, and you can take them with us or run them yourself. We configure the platform around how you already run the space, import what you already have, train each role on their own screens, and stay on the call through your first billing run.

The daily problem

Most software migrations fail in the gap between the demo and the first invoice

The product looked fine in the demo. Then it went in empty, the team kept using the old sheet because it was faster, and by the second month there were two systems and neither was right.

How onboarding runs5 steps
01Step 01

Sign up and initial setup

We create your organisation and your first centre with the real details: floors, seat inventory, plans, price list, tax registration and the staff who need a login. You send what you already have, in whatever shape it is in.Usually the same day

02Step 02

Onboarding call with a specialist

One call, screen shared, going through how you actually run the space. Billing cycle, notice period, deposit policy, credit rules, who is allowed to see revenue. The answers become configuration rather than a document nobody reads.Your policy, not our defaults

03Step 03

Walkthrough and configuration

We set up memberships, invoicing, meeting rooms, access, visitors and the member app together, and import your existing members, companies, active subscriptions and outstanding invoices so the system opens with your real data in it.Opens with your real data

04Step 04

Team training

Live sessions per role rather than one long demo for everybody. The front desk learns the front desk. Finance learns invoicing, collections and the ledger. Managers learn occupancy and reporting.Trained on their own screens

05Step 05

Go live, and stay supported

We are on hand through your first billing run, which is the moment that matters. After that you have ongoing support, and new features arrive without you having to upgrade anything. The first invoice run is watched

Migration is part of it

Members, companies, seat allotments, running subscriptions and outstanding invoices come across as part of a guided onboarding. You should never have to run the old sheet in parallel to be safe.

Documentation you can search

A knowledge base for the whole platform, written per screen, plus in-app documentation for admin staff who would rather not leave the console to find an answer.

Updates without a project

DeskOS is one hosted platform. New modules and improvements arrive for everybody, and you are never asked to schedule an upgrade weekend.

After go live

Support that knows what your configuration looks like

You are not explaining your notice period and your credit policy to a new person every time you open a ticket. The people answering can see how your org is set up.

Email, phone and chat

Reach us the way that suits the problem. Urgent things belong on the phone and we do not pretend otherwise.

Relationship manager

Business plans and above get a named contact who knows your account, not a rotating queue.

24/7 on Enterprise

Round the clock call support for operators where a door not opening at 6am is a real incident.

Knowledge base

Searchable documentation for every screen, plus in-app docs for staff who would rather not leave the console.

FAQ

Onboarding questions

How long does onboarding take?

Most single location operators are live within a week, and much of that is waiting on your own data and decisions rather than on us. Portfolios with several centres, existing leases and a live access control estate take longer, and we scope that on the onboarding call rather than guessing here.

Does onboarding cost extra?

Only if you want us to run it. Guided setup and team training is an optional one-time charge, shown on each plan on the pricing page, and it is the same option again for each new location. If you would rather configure the space yourself you pay nothing beyond the plan, and support and documentation are included either way.

How do we reach support?

Email support@deskos.net, call us, or use chat from inside the console. Business plans and above get a named relationship manager, and Enterprise adds 24/7 call support.

Can you import our existing members and invoices?

Yes. Members, companies, seat allotments, running subscriptions and outstanding invoices are the standard import. Send whatever you have, including a spreadsheet that has been edited by nine people, and we will map it.

What about our existing access control hardware?

Existing enrolments on supported devices can be linked to members rather than re-enrolled, so you do not have to queue your entire membership at the reader on go live day.

Do you train new staff after we go live?

Yes. Flex space has turnover at the front desk, so training is not a one-time event. New joiners get a session, and the documentation is there for the parts nobody remembers on day one.

Ask us how your migration would actually go

Show us the spreadsheet, the invoice format and the access hardware. We will tell you what comes across cleanly and what needs a decision from you.
