Know what is sold, what is free and what is coming back

Seats, floors and occupancy in one live board instead of a spreadsheet somebody updates on Fridays. Allot, hold and release seats, run notices, and answer what is available on the 1st without opening anything else.

The daily problem

The seat map is always one conversation out of date

Somebody sold a cabin on WhatsApp, somebody else promised the same cabin on a tour, and the sheet that decides the answer was last touched two days ago. The cost is not the argument, it is the seat that sat empty for a month because nobody knew it was free.

What DeskOS does about it6 capabilities
01Inventory

Every seat in the portfolio, described once

Centres, floors, zones, cabins, dedicated desks, hot desks and meeting rooms. Each seat carries its own type, rate, floor and status, so a seat is a real object rather than a cell in a sheet that somebody coloured in.One record per seat, across every centre

02Live status

A board that is right at four in the afternoon

Reserved, on notice, held and vacant, updating as your team sells and releases. Occupancy is computed one way everywhere: occupied is reserved plus notice, and a soft hold still counts as vacant so nobody sells a seat twice.Sales and finance read the same number

03Allotment

Allot, swap and release without a phone call

Pick the seats on the floor plan when you sell a membership. Move a member to a bigger cabin mid term and the invoice schedule, the door access and the member app follow the change on their own.Seat changes take a minute, not a morning

04Notice

Notice periods that release the seat on the right day

Log a notice and the seat stays occupied until the end date, then frees itself. Cancel on a specific date, past or future, and DeskOS works out what to bill and what to release rather than asking you.No seats stuck occupied after a member leaves

05Forward view

What is free on the 1st, answered now

Ask availability for a future date and get the real answer, including seats coming free from notices already logged and renewals your team has flagged as likely. Sell against next quarter instead of guessing at it.Quote future availability with a straight face

06Multi location

Several buildings, one portfolio

Switch centre in one place and the whole console follows. Members can be entitled at one centre or across the group, and credits, bookings and access follow whichever rule you set.Run five buildings without five logins

Holds expire on their own

A seat held for a proposal releases itself when the hold lapses. Nobody has to remember to unblock it, and it never silently shows as sold.

Two views, one number

The occupancy board and the reports are computed from the same source. If they ever disagreed it would be a bug, not a setting.

Check-in is a separate question

A seat being sold and a person being in the building are different facts. DeskOS tracks both and never confuses one for the other.

Because it is one system

A seat is not a drawing, it is the thing everything else hangs off

The moment a seat changes hands, five other systems are wrong. Here they are the same system, so they are never wrong.

Billing

The membership, the invoice schedule and the seat are one record. Change the seat mid term and the next invoice is already right.

Access control

Allot a seat and the door grants follow. Log a notice and access ends on the last day, not whenever somebody remembers.

Sales

Proposals price against real inventory and hold the seats they quote, so the pipeline cannot oversell the floor.

Reporting

Occupancy, revenue per seat and long vacant seats all read the same board. No reconciliation step.

FAQ

Questions operators actually ask

How is occupancy actually calculated?

Occupied is reserved plus on notice. A seat under a soft hold for an open proposal still counts as vacant, because it has not been sold yet. Every screen and every report uses that same definition, so the number on the dashboard and the number in the board meeting are the same number.

Can we manage several locations from one login?

Yes. Centres sit under one organisation. Staff switch centre from the top of the console, and permissions decide who can see which. Members can be entitled at their home centre or across the whole group depending on the rule you set.

What happens to billing when a member changes seats?

The subscription, the invoice schedule and the seat allotment are the same record, so a mid term change updates all of them. There is no second place to remember to update.

Do you support hot desks and day passes alongside dedicated seats?

Yes. Seat types are configurable per centre, and day pass inventory can be capped separately, including per shift if you sell mornings and evenings differently.

Can we import our existing seat map?

Yes. Onboarding covers building the seat inventory from your existing plans or spreadsheet, along with current members, their seats and their billing dates.

Put your real floor plate on the board

Send us one centre and we will build the seat map with you on the call, so you are looking at your own building rather than a demo one.
