The daily problem

You sold two hundred seats and you have no idea how many showed up

Hybrid work broke the assumption that a sold seat is a used seat. Without honest attendance you cannot price a plan, size a pantry, plan a shift roster or defend a renewal to a corporate client who thinks they are paying for empty desks.

What DeskOS does about it6 capabilities
01Check-in

Presence measured, not self reported

A door event, a QR scan at the desk or a tap in the member app all create the same check-in record. Attendance stops being a sheet somebody fills in at the end of the week from memory.Real numbers, collected passively

02Day passes

Day pass usage that cannot be over sold

Sell passes with a real inventory cap for the day, and per shift if you sell mornings and evenings separately. A pass is checked in and consumed rather than counted on trust. The floor never oversells itself

03Shifts

Twenty four hour operations, priced by shift

Define shifts per centre and sell against them, so a night shift member has access at night and a day pass buyer cannot walk in at midnight. Access windows and attendance both follow the shift.Sell the same seat twice, legitimately

04Client reports

Attendance reports your corporate accounts ask for

Enterprise tenants want to know who from their team came in and how often. Produce that per company and per period without exporting door logs into a spreadsheet and cleaning them by hand.A renewal conversation with evidence

05Staff

Your own team, on the same readers

Track staff attendance on the same hardware and the same records as members, with roles and centres respected, so you are not running a second attendance product for eight people. One system, not two

06Utilisation

The gap between seats sold and seats used

Occupancy tells you what you sold. Attendance tells you what is actually being used, by day of week and hour. That gap is where the pricing decisions and the layout decisions live.Sell the floor to how it is really used

Occupied and present are different

A seat can be sold and empty. DeskOS never mixes the two, so occupancy stays a commercial number and attendance stays an operational one.

Works without biometrics

If your building has no readers, QR at the front desk and app check-in still produce a complete attendance record.

Privacy by role

Who can see individual attendance is a permission. Most staff need the aggregate, not the person.

Because it is one system

Attendance is only useful next to what was sold

A standalone attendance tool gives you timestamps. Attached to the membership, the same timestamps become a pricing decision.

Access control

Door events become attendance without a second device, a second app or a second enrolment.

Memberships

Usage sits next to the plan, so you can see which plans are under used and which are straining.

Analytics

Seats sold against seats used, by day and hour, is the number behind every layout change worth making.

Cafe and amenities

Footfall by day tells the kitchen what to prep and tells you when the pantry actually gets busy.

FAQ

Questions operators actually ask

Do we need biometric hardware for this?

No. If you have readers, door events feed attendance automatically. If you do not, QR scanning at the desk and check-in from the member app produce the same records.

Can we give a corporate client a report of their own team attendance?

Yes. Attendance is attached to the member and their company, so a per company report for any period is a few clicks rather than a data cleaning exercise.

How do day passes work with limited capacity?

Day pass inventory is capped for the day and can be capped per shift. Once the cap is reached the pass cannot be sold, so you never end up with more people than seats.

Can we run a night shift with different access hours?

Yes. Shifts are defined per centre, and both the access window and the attendance record follow the shift a member actually bought.

Is attendance the same thing as occupancy?

No, and keeping them separate matters. Occupancy is what you have sold, and it drives revenue. Attendance is who is physically in, and it drives layout, amenities and pricing. DeskOS reports both without conflating them.
